Utilizing the Bar Code features of The Business Assistant puts more control and efficiency at your fingertips when receiving inventory. With a quick glance, you can see exactly where a parts goes with no extra effort. Whether a part goes on the shelf, is a special order for the service department, or is a special order for a counter sale, you will know instantly. Stocking parts orders has never been easier or more accurate!

One time consuming job that should be menial and handled by a minimum wage employee but is often not, is receiving inventory. The reason is because the taking of items out of a box and placing them on a shelf may be menial but the items must be cross checked to what was ordered and then decisions must be made as to which parts were for stock, which for customer special orders and which were special ordered for customers units in the service department.

Instead of simply printing a bar code label like our competitors, TBA 9.0 will instead print an 'intelligent' label that not only ensures it is bar coded for handling within the dealership but also will function as a 'dummy resistant' indicator for what to do with the item once received. Now, parts managers can spend 75% less time receiving orders, or better yet, pass the job to an entry level/pay employee and spend their valuable time doing more profitable tasks.

Imagine your receiving people with blind folds on, dumping the boxes in a pile and scanning the supplier bar code so that the items reconcile against what was ordered like a grocery store checkout. Then imagine them taking the blindfolds off and placing the parts where their new TBA 9.0 labels tell them to go. This savings alone in a typical dealership could pay for the system in one year!

- This label is for a part that is for stock, and therefore prints with a white background, black text, and only shows dealership information. The option to print the price has been selected for this particular part.


- This label is reverse in color indicating it is a special ordered item. It includes Mr. Scott Roger's name and phone number indicating it was special ordered through the parts department. The system has allocated a special order bin location in which the part should be placed until picked up.


- This label is reverse in color indicating it is a special ordered item. Because the label omits the phone number and instead displays the repair order number and service tech assigned to the job, we know the service team is waiting for this item to arrive for Mr. Robinson's unit which is in for repair.


- If you have placed an order with your supplier that includes a special ordered item, and that customer cancels their request for that item, your receiving person should be notified to watch for that item when it arrives. Stock labels with a black stripe through the company information indicate such a situation and should get the approval of the parts manager to either stock the item or return it to the supplier immediately.


- When receiving units, the system can default to print multiple copies of a unit bar code label. We recommend four so that the first in the strip can be used to attach them to the crate. Once assembled, the remaining three are attached to the unit. This leaves two for the salesperson to bring to the sales office which can be used to precisely identify the requested unit as well as to stick in the owners manual and deal jacket. The details of the unit can be drawn from the main system to our handheld wireless PDA by simply scanning the stock number or VIN number on a unit label.

Units can receive a bar code which includes the model, stock number and VIN. Print extras for each unit when receiving them so that you have one for the owner manual, deal jacket, etc. While on your floor, use our handheld wireless PDA application to scan the VIN for checking inventory or for retrieving sales info about a given unit.
